Privacy Policy

MailLedger ("we," "our," or "the add-in") is committed to protecting your privacy. This policy describes how we handle information when you use the MailLedger Outlook add-in.
1. What MailLedger Does
MailLedger is a Microsoft Outlook add-in that helps you file email into folders. It uses email metadata (sender, subject, folder location) to learn your filing patterns and suggest the right folder. It can also move messages and send messages on your behalf when you use features like Send & File.
2. Data We Access
MailLedger accesses your Microsoft 365 mailbox only through the Microsoft Graph API, and only with permissions you explicitly grant during sign-in. Those permissions include:
- Reading mail metadata (e.g., sender, subject, folder) to provide suggestions
- Moving messages between folders when you choose to file
- Sending mail on your behalf when you use Send & File
We do not read, store, or transmit the full body of your emails to our own servers. All access is done through Microsoft's infrastructure under your consent.
3. Data Storage
Filing rules, folder caches, and add-in preferences are stored locally on your device in your browser's IndexedDB. MailLedger does not upload your email content, filing history, or personal data to our servers. Your data stays on your device and in your Microsoft 365 tenant.
4. Data We Do Not Collect
We do not collect, and do not ask for:
- Email content or attachments
- Analytics, tracking pixels, or cookies for advertising
- Third-party tracking or profiling
We don't know who you are, what you file, or how often you use the add-in, unless you contact us (e.g., for support) and identify yourself.
5. Third-Party Services
MailLedger communicates only with Microsoft services (e.g., login.microsoftonline.com and graph.microsoft.com) using your authenticated session. We do not send your data to any other third parties. Microsoft's use of data is governed by the Microsoft Privacy Statement.
6. Data Retention
Because we do not store your email or filing data on our servers, there is no retention of that data by us. Local data in your browser (e.g., folder cache) remains until you clear site data or uninstall the add-in.
7. Your Rights
You can revoke MailLedger's access at any time by removing the add-in or revoking consent in your Microsoft account settings. You may have additional rights under applicable law (e.g., access, correction, deletion, portability). To exercise them or ask questions, contact us at support@mailledger.app.
8. Security
We rely on Microsoft's authentication and the Graph API; we do not store your Microsoft credentials. Any communication with our infrastructure (e.g., for subscription or support) uses standard security practices. We do not sell or share your personal information.
9. Children
MailLedger is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will address it.
10. Changes to This Policy
We may update this privacy policy from time to time. The "Last updated" date at the top will change when we do. Continued use of MailLedger after changes constitutes acceptance of the updated policy. For material changes, we may provide additional notice where appropriate.
